Document Scanning Means Insurance Firm Can Now Respond Quicker to Clients
The archive scanning and storage project was a daunting one to undertake, but working with the team at Storetec made it a stress-free process. Storetec handled all of the logistics, collecting directly from our previous provider. The archive scanning of our claim files took up the bulk of the work and now they are electronic, our claims handlers can respond to our clients immediately. The combination of box storage with scanned retrievals ensures our offices stay free of paperwork. It’s definitely a process to recommend.

The client is one of the largest insurance and reinsurance companies working at Lloyds of London. They operate internationally in many major markets with an emphasis on providing original and intelligent solutions for their clients.

Client Requirement
The company had 18,000 boxes in offsite storage with a third-party firm. They were adding to this number all the time and had an issue with the time it took to retrieve a file and the space the boxes were taking up before being returned to storage.
What
What We Did
We set up weekly collections from our client’s London offices to remove the paper files. These are now scanned on an ongoing basis. We collected the archive over six months and handled all the logistics with our client’s previous supplier. Then, we split the storage boxes into two groups: document storage with scan-on-demand for the older files (around 10,500 boxes), and archive scanning for the more recent files (around 7,500 boxes). Scan-on-demand lets our client request a file and have it returned as a scanned image within eight working hours. After we finished the archive scanning, we securely shred and recycled the paper files in line with our client’s document retention system.
